Admin Views

Admin Views - This folder gives review and database administrators the ability to see documents in many different foldering structures, dependent on the metadata connected with the documents or the criteria used to collect them.



If Document Level Security is not enabled for your project, you will not see the Secure node.

  • Assignments - View assigned batches by Assignment Folder, by Batch, by Custodian, by Job, by Reviewer or by Thread. Under the Reviewer subfolder you may examine the Reviewed and Not Reviewed batch subfolders, with counts; admins also have the option to right-click and delete a Reviewer's batch folder.

  • Custodians - View all documents provided by each custodian in the project.

  • Document Folders - View all load batches and their sub-folders; for example, see a Custodian's PST with privileged and non-privileged and personal folders within.

  • Imports - All data sets uploaded into Reveal may be viewed here.

  • Locked - Documents where coding has been restricted will appear in this view. Locking may include Fields, Notes, Annotations, Redaction, and any or all Tag Sets.

  • Searches - View saved searches under each user, including the ability to see the search syntax and to modify access to use the search.

  • Secure - View documents secured by Team or by User, or view those not secured for action using the Secure tool in the Document List.

  • Tags - Quickly retrieve all documents under any tag from folders set out by Tag Set.Tags - Quickly retrieve all documents under any tag from folders set out by Tag Set.

  • Transcripts - Examine, modify access, lock down or process transcripts in any transcript folder, or examine them by user.

  • Work Folders - Examine, add, modify access to or lock down any work folder, or examine those accessible by each user.

Admin Views - Assignments

The Assignments folder shows Project Managers and Administrators the several views of any Assignments that have been created in the current project.


Admin members can see documents that have been assigned and not assigned. For example, in this screenshot below you can see that the ReviewUser has checked out Assignment batch FLR_00005 and the remaining assignments. Available batches will be show in the [Assignment Pool] node.


Assignment folders may be opened and pushed to a user or team using the Assign tool in the Review toolbar. Batch folders may be also be deleted here by right-clicking, selecting Delete and confirming, though this is not normally recommended.

Admin Views - Custodians

The Custodians folder shows the entries populated into the Custodian field in your Reveal project.


This information is pulled from the Custodian_Name field. If this field is left blank, there will not be any subfolder entries under the Custodians folder.

Admin Views - Document Folders

Document Folders under Admin Views shows folders of imported document sets, any subfolders, their document totals and contents.


Document folders are created during Data Load in the Reveal Review Manager. This information, along with Custodian_Name metadata, can be helpful in creating assignments at various levels of review.

Admin Views - Imports

To locate document by the batches in which they were imported, use the Import node under Admin Views. This will list every batch that has been imported into the tool via the Data Load in Reveal Review Manager or via the Upload Documents function in the Flyout Menu. Batches will be listed in alphabetical order.


Users may find this view useful for assigning Document Level Security permissions for an entire batch of documents.

Admin Views - Searches

The Searches folder contains Admin management for all Saved Searches. Those with Administrator access can view the Saved Searches all together or by individual users:

  • If you hover your mouse over a Saved Search, you can see the search criteria that were used to create the search.

  • By right-clicking on a saved search, Admin members can modify the folder location and permissions of an existing saved search. This is helpful if you need to add alternate users to a specific saved search created by a different user.

Admin Views - Secure

If Document Level Security is enabled (which is recommended) this Admin View will show all Unsecured and Secured documents in the Project. Secured items are broken out By Team and By User.


Project Managers may find this view useful for assigning Document Level Security permissions for an entire batch of documents. Documents in the Unsecured subfolder, or found in particular Document Folders, Imports or Custodians, may be opened in the Documents List and secured using the Secure button in the Review toolbar. Access may then be restricted in the Secure Documents window.

Admin Views - Tags

The Tags folder shows all of the Tags and their Choices including the number of documents in the database that have each tag choice applied. In this screenshot, you can see how many documents have been tagged with the three Responsiveness tag choices so far.

Admin Views - Transcripts

Transcripts under Admin Views shows any transcript folders that have been created within the project, who created them, their contents and access settings. The Project Manager acting as administrator may also add folders, lock down folders, edit folder access and process transcripts within a selected folder.


The Process Transcripts selection opens a window where uploaded transcript documents which have been added to a Transcript Folder are analyzed for their format and then processed to generate wordlists, pick up any existing tags, and otherwise prepare a transcript coding panel for review.

Admin Views - Work Folders

Work Folders under Admin Views shows any work folders that have been created within the database, who created them, their document totals, contents and access settings.


Project Managers acting as Administrators can also see folders created by all users.  

By right-clicking on a folder in this view, Administrators can edit folders regardless of ownership. This is helpful if you need to add alternative users or teams to a specific folder created by a different user.
